If you’re copy-pasting the same links, rewriting the same bio for every speaking inquiry, or hunting down your hex codes every time you design something – this one’s for you.
TextExpander is one of those tools that sounds simple (because it is), but once you start using it, you will be genuinely embarrassed by how much time you were wasting before.
TextExpander lets you save any piece of text as a “snippet” – an email, a link, a bio, a color code, a whole set of client instructions. You give it a short code, and any time you type that code anywhere on your computer, it instantly expands into the full text.
No copy-pasting. No searching. No retyping. Type the code. Done.
You’re probably repeating yourself more than you realize. Your website URL. Your Instagram handle. Your “here’s how to connect apps on Zapier” instructions you send to every single client. Your bio for every podcast form you fill out.
That stuff adds up. And more than the time, it’s the mental energy – stopping what you’re doing to go find something you’ve typed a hundred times. TextExpander removes all of that.
Here’s what’s in my TextExpander right now:
– Emojis – ;heart → ❤️, ;wink → 😉. Faster than any keyboard shortcut.
– My links – ;web pops in my full website URL. ;IG drops my Instagram handle. Done.
– Help statements – ;helpreg drops my full I-help statement. ;helpkg drops a simplified version for bios and speaking forms. This alone has saved me so much time on podcast pitches.
– Brand colors – ;turq gives me my turquoise hex code. ;pink gives me my pink. No more digging through brand docs.
– Client instructions – ZapConnect drops in the full step-by-step instructions I send clients for connecting apps on Zapier. I was typing this from scratch every time.
– ClickUp Email to List workflow – If you caught last week’s tip on ClickUp Email to List, I have a snippet called CU Email to List that triggers a fill-in-the-blank prompt – task name, assignee, due date – and formats it into the perfect email subject line automatically. This is the combo move.

– ClickUp Email to List – The TextExpander snippet I show in this video makes this workflow even slicker. If you haven’t seen it yet, start there.
– Gmail Snooze – Another tiny tool that takes the mental load off your inbox. Pairs naturally with TextExpander.
